Planning an event is a stressful, time-consuming process. hosts must juggle budgets, suppliers, guest lists, and last-minute changes, while vendors struggle to find and manage clients efficiently. my planner solves these challenges by providing a centralized platform that connects both sides event hosts and vendorsunder one streamlined system.
Why this project was unique
The client previously worked with me on me’ashrim baklik and wanted a more complex solution. unlike the previous project, i was involved in both ux and ui design. the system was designed exclusively for desktop to reduce costs and focus on a structured layout. the biggest challenge? two distinct user flows one for event hosts and another for vendors.
The challenge : what problems does my planner solve?
Event planning is chaotic and overwhelming.
The Solution a dual-user platform
To ensure a smooth experience for both user types, i designed separate entry points and dashboards:
User flow how users navigate in my planner
To create a seamless experience, i designed two distinct user flows: one for event hosts and one for vendors. each flow is tailored to address the specific needs and challenges of each user type.unlike the previous project, i was involved in both ux and ui design. the system was designed exclusively for desktop to reduce costs and focus on a structured layout. The biggest challenge? two distinct user flows one for event hosts and another for vendors.
UI design process
I defined key ui principles: clarity, simplicity, logical flow, visual consistency, and user-specific design.
User type selection screen
The first interaction on the platform is a pop up that appears upon entering the website, asking: are you an event host or a service provider? this selection is crucial as it determines the user’s journe in the system event host- guided through a process tailored for event planning and management. service provider- directed to a workflow designed for professionals looking to offer their services.
Registration process personalized questionnaire
After user type selection, a tailored questionnaire optimizes the experience and recommendations.
For event hosts
Type of event (wedding, birthday, corporate event, etc.) estimated budget approximate number of guests event date special preferences (location, theme, etc.)
For service providers
Service category (photography, catering, music, etc.) specific services offered operating region pricing range availability
Event host dashboard
The my planner dashboard gives you real-time updates on all the key aspects of your event. stay on top of tasks, rsvps, and planning progress effortlessly.
Event management full control at your fingertips
The event management screen gives you complete control over every detail of your event. easily track your budget, monitor tasks, and ensure vendors meet deadlines. everything is centralized for smooth and efficient planning, with easy navigation between sections.
Vendor profile screen
This is your digital business card the first impression you make on potential clients. The profile page showcases essential details such as photos, reviews, pricing, and a description of your services. Celebrants can contact you directly, request quotes, and decide if you’re the right fit for their event. You can update your profile at any time to keep your information fresh and relevant.
Conclusions & Key Learnings
Throughout this project, I gained a deeper understanding of designing a user experience tailored to two distinct user types – celebrants and vendors. The process of UX research and design emphasized the importance of intuitive navigation, quick access to relevant data, and a personalized experience. I also realized how crucial it is to present clear and accurate information in vendor profiles, enabling celebrants to make informed decisions. Additionally, I learned the significance of real-time updates – allowing vendors to easily update their profiles improves the overall user experience. Finally, this project reinforced my understanding of balancing aesthetics with functionality, ensuring visual consistency and proper information hierarchy.
